Cancellation and Refund Policy

This Cancellation and Refund Policy explains how cancellations, refunds, non-refundable deposits, date transfers, participant replacements, no-shows, weather changes, illness, injury, and organizer cancellations work for Lovane Tennis camps.
By paying the initial payment / partial prepayment, paying the full price, submitting a booking, or attending a camp, you agree to this policy.
1. Non-Refundable Initial Payment / Partial Prepayment
The standard initial payment is USD 500 per participant.
This amount is not a security deposit, damage deposit, or refundable guarantee. It is a partial prepayment and forms part of the total camp price.
The initial payment reserves a place in the selected camp and allows Lovane Tennis to coordinate hotel space, coaches, tennis courts, transfers, activities, and program planning.
If the participant cancels for any reason, changes their mind, cannot travel, cannot attend, arrives late, leaves early, becomes ill or injured, has work or family issues, has visa or flight problems, or does not attend, the initial payment will not be refunded.
The only standard exception is if Lovane Tennis cancels the camp and does not provide a reasonable alternative. In that case, the initial payment will be refunded.
2. Cancellation by the Participant
If the participant cancels 14 or more calendar days before the camp start date:
the USD 500 initial payment remains non-refundable;
any paid balance above the initial payment may be refunded; or
the booking may be transferred to another available camp date, subject to availability.
If the participant cancels less than 14 calendar days before the camp start date:
the initial payment is non-refundable;
the paid balance is non-refundable;
no date transfer is available;
no refund is provided for accommodation, training, transfers, meals, activities, or other included services.
3. No-Show, Late Arrival, or Early Departure
If the participant does not attend, arrives late, misses training, misses transfers, misses activities, or leaves the camp early for any reason, no refund or partial refund will be provided.
This includes missed services caused by flights, visas, travel delays, illness, injury, personal decisions, family issues, work issues, or failure to follow instructions.
4. Date Transfers
Participants may request to transfer their booking to another available camp date if the request is made 14 or more calendar days before the original camp start date.
If approved by Lovane Tennis:
the USD 500 initial payment may be transferred to the new date;
any paid balance may also be transferred to the new date;
the new date must have available space;
any price difference must be paid by the participant;
the transfer is not guaranteed until confirmed in writing by Lovane Tennis.
Date transfer requests made less than 14 calendar days before the camp start date are not available, unless Lovane Tennis decides otherwise in writing.
5. Participant Replacement
A participant may transfer their place to another person at no additional Lovane Tennis administration charge, provided that:
Lovane Tennis is notified before the camp starts;
the replacement participant meets all eligibility, age, health, travel, and safety requirements;
the replacement participant accepts all Lovane Tennis terms and policies;
the replacement does not create additional hotel, transfer, legal, or operational issues.
Any extra costs caused by the replacement are the responsibility of the original participant or replacement participant.
6. Illness, Injury, Medical Issues, and Personal Circumstances
Lovane Tennis does not provide refunds for illness, injury, medical conditions, personal emergencies, travel problems, work conflicts, family issues, fear of travel, change of plans, or inability to participate.
Participants must have their own travel insurance and medical insurance. Participants are responsible for making claims directly with their insurance provider.
7. Cancellation by Lovane Tennis
If Lovane Tennis cancels a camp before it starts and does not offer a reasonable alternative, participants will receive a refund of amounts paid to Lovane Tennis for that camp.
Lovane Tennis is not responsible for flights, visas, insurance, personal expenses, bank fees, currency conversion fees, third-party costs, or other expenses paid outside Lovane Tennis, unless required by applicable law.
Lovane Tennis may offer an alternative camp date, credit, relocation, or replacement program where reasonable.
8. Changes to Schedule, Hotel, Coach, Courts, or Activities
Lovane Tennis may change the schedule, hotel, coach, tennis courts, training times, activities, transfer times, or program details when necessary due to weather, safety, availability, operational needs, group size, hotel requirements, court availability, coach availability, or third-party provider changes.
Such changes do not automatically entitle the participant to a refund if Lovane Tennis provides a substantially similar camp experience.
9. Weather Policy
Bad weather, rain, storms, extreme heat, unsafe court conditions, or other weather conditions may require changes to the camp schedule.
Lovane Tennis may modify training times, move sessions to available covered courts, replace outdoor activities with alternative activities, adjust the daily plan, or use hotel-based activities at the organizer’s discretion.
Weather-related changes do not automatically entitle participants to a refund.
10. Force Majeure
If the camp is affected by events outside Lovane Tennis’s reasonable control, including severe weather, natural disasters, pandemics, government restrictions, border closures, strikes, transport disruptions, war, civil unrest, terrorism, public health restrictions, hotel closures, court closures, airline disruption, supplier failure, or other force majeure events, Lovane Tennis may modify, postpone, reschedule, relocate, or cancel the camp.
Refunds, credits, or date transfers in force majeure situations will be handled fairly and according to the circumstances, supplier policies, and applicable law.
11. Refund Method and Timing
Approved refunds are normally issued to the original payment method when possible.
Refund processing times may depend on Stripe, banks, card networks, and payment providers. Lovane Tennis does not control bank or card issuer processing times.
Stripe fees, bank fees, foreign exchange differences, card fees, and currency conversion costs may not be refundable, unless required by law or unless Lovane Tennis decides otherwise.
12. How to Cancel or Request a Change
To cancel, request a date transfer, or replace a participant, contact Lovane Tennis in writing:
